Meeting Minutes

July 9th, 2019

Opening

The regular meeting of the Millstone Village Meeting was called to order at 7:01 p.m., on July 9th, 2019, at Wallen Baptist Church by Rachael Caldwell.

Present

Ann Strebig – President, Ado Kantaevic – Vice President, Kaitlyn Targgart – Treasurer, Rachael Caldwell – Secretary, June Ball – Accountant, and 6 residents present

Meeting Minutes

Reviewed minutes for May meeting, motion was made to approve.

Treasurer’s Report

Reported a balance of $35,172.65 as of May 31st, 2019 and reported a balance of $32,367.52 as of June 30th, 2019.

New Business

Reminder that going forward garage sales will be held the weekends after Memorial Day and Labor Day.

Stumps in park and off Wallen Road remain and need grounded, will contact the company who removed them. 311 will need reminded of dead tree on Medallion Run.

Open Discussion

Light posts out along trails, not certain which ones or how to communicate which ones, board requested location/pictures. – Need to find a volunteer or to hire electrician.

One dead apple tree in “Spider Park” recently installed by Fort Wayne Trees.

Trailer located in addition

Leaves/Grass in road – needs put in newsletter/website.

Need address for “winter birds”

May 14th, 2019

Opening

The regular meeting of the Millstone Village Meeting was called to order at 7:04 p.m., on

May 14th, 2019, at Wallen Baptist Church by Rachael Caldwell.

Meeting Minutes

Reviewed minutes for March meeting, motion was made to approve.

Treasurer’s Report

Reported a balance of $44,818.90 as of March 31st, 2019 and reported a balance of $44,968.29 as of April 30th, 2019.

New Business

Nick from City of Fort Wayne’s Right of Way came to speak about signs, sidewalks, snow, drainage, kids in street, trip hazards, and tree removal.

Board spoke about dead tree removal expenses, as well as possible dumpster in the fall.

Resident spoke about Dori Pole to deter geese and about fountain pump not in usual location.

Resident asked about lighting for home.

Resident spoke about lights being out near trail.

Adjournment

A motion to adjourn the meeting was made and seconded. The meeting was adjourned at 8:21 PM by Rachael Caldwell. The next meeting is the HOA meeting, which will be held on July 9th, 2019 @ 7:00 p.m., at Headwaters Church (previously Wallen Baptist).

Dumpster Clean Up

Millstone Village recently participated in the Great American Clean Up that is hosted in conjunction with the City of Fort Wayne, however this opportunity was abused.

When posted Millstone Village would participate it was said that once the dumpster was full to not add to it and to not leave items outside of the dumpster.

We no longer can participate in such programs if this is how it ends. Volunteers had to remove trash to put into a additional dumpster in order for it to be hauled away safely.

This type of behavior will not be condoned in the future.

Great American Clean Up

This year’s Great American Cleanup™ is on Saturday, May 4, 2019.

There will be a dumpster located on Oak Bay Run, once it is full do not add to it or leave items outside of the dumpster.

We would like to get volunteers to help clean up the trash in the woods, parks, cleaning up the trails and common grounds. Please email millstonevillagehoa@gmail.com if interested.

The dumpster will be dropped of around 8am and picked up sometime around 2pm. The dumpster will be on Oak Bay Run near the pond.

NEIGHBORHOOD CLEANUP PROGRAM RULES:

Fertilizers

Do Not Overfill the container. Debris must not hang over the sides or stick up higher than the sides of the container, and the door must be able to close.

The clean up/dumpster program is offered to communities in Fort Wayne for free, PLEASE DO NOT put items in the dumpster that are on this list, otherwise we may not be able to continue doing this program with the City of Fort Wayne.

The following are dates for our garage sales this year, we will once again be collaborating with Hearthstone to run an ad for the garage sales:
May 30th, 31st, and June 1st
September 5th, 6th, and 7th

Treasurer’s Report

Reported a balance of $55,982.02 as of January 31st, 2019 and reported a balance of $56,399.87 as of February  28th, 2019.

New Business

Discussed Garage sales to be held with Hearthstone on May 30th– June 1st and again on Sept 5th-7th.

Discussed Great American Clean up and dumpster to be held on May 4th.

Discussed trees for common ground area’s and parks.

Treasurer’s Report

Reported a balance of $25,288.67 as of November 30th, 2018 and reported a balance of $52,742.26 as of December 31st, 2018.

New Business

Discussed landscaping and maintenance plan for spring 2019.

Approval was made to purchase and place new boulders for Northland Blvd entrance.

Approval was made for amount of $500 for Turf Integrity to trim trees and overgrowth near walkway area close to Wallen Road entrance.

Approval was made to remain with Aquatic Management, signing new contract.
